PAYMENT & REFUND POLICY
Registration & Payment Deadlines
In order to avoid “Last Call” pricing, a studio’s registration must be closed and paid in full four weeks prior to the start of any regional West Coast Dance Explosion event they plan to attend. Registrations can be closed without uploading music for any routines that are competing. All routines, students, and teachers must be entered in order to close your registration. By closing out a registration, a studio is indicating that their registration is complete and changes do not need to be made to their attendee or routine list.
Last Call Pricing Policy
All registrations with outstanding registration fees, after the registration & payment deadline, will be subject to “Last Call” pricing. Workshop & competition materials will not be available to a given studio until their registration fees have been paid in full.
Acceptable Payment Types
West Coast Dance Explosion accepts payments by cashiers check, business check, money order, and credit/debit card (Visa, MasterCard, Discover, American Express). No personal checks are accepted. All Checks (business or cashier) and Money Orders must be received by the registration deadline. All returned checks are subject to a $50 Returned Check Fee.

Competition Sell-Out Policy
When WCDE announces a competition sell out prior to the registration deadline for a particular event, a studio will be responsible for all fees associated with the held routine spots in their registration at the time the sell out is declared. WCDE will do its best to re-assign unused routines to studios who need them; all remaining held slots will be charged at $50 per un-utilized held routine spot.
Responsible Registration Policy
West Coast Dance Explosion prepares each event to provide the greatest amount of opportunity for all participants while defining clear schedule expectations for all studios and chaperones. In order to help maintain this happening in a timely fashion, WCDE relies on accurate information and open communication with all studio partners. WCDE reserves the right to impose additional deadlines for routines with incomplete registration information at any point in time. Studios are responsible for all fees associated with the populated/held routines and students in an event’s registration as reflected in their account on the events registration & payment deadline. Studios who abandon unpaid registrations will be asked to pre-pay registration fees on future events. Should a studio develop a pattern of abandoning registrations (more than once), West Coast Dance Explosion reserves the right to close a studio’s account. Any E-Credits or student scholarships are surrendered by a studio at the time of an account’s closure. Competition Refund
Policy & Schedule Release
If a studio has processed payment with WCDE prior to the release of the competition schedules, any refunds will be processed to that studio
as WCDE E-Credits. Once an E-Credit has been placed on a studio’s account, it can be utilized for Regional or National Events fees until the
conclusion of the next season’s regional tour. WCDE allows for competition routines to be removed* from a studio’s registration up to three
weeks prior to the event without penalty, subject to the policies indicated below.
UPDATED! Refund Policy
WCDE does not issue refunds, except for cases of an event cancellation. If a dancer cannot attend due to illness or injury, an E-Credit and/or
scholarship valid for one year will be issued, provided a doctor’s note is emailed to registration@gowcde.com within 30 days.
Injury & Illness Policy
Should a student suffer from an illness or injury and are no longer able to attend WCDE, an E-Credit and/or scholarship will be made
available with a signed doctors note submitted to WCDE as follows:
1) Convention Workshop Fees will be processed as a Single Convention Scholarship in the student’s name until the conclusion of next
season’s regional tour.
2) Competition Fees will be processed as WCDE E-Credits valid until the conclusion of next season’s regional tour.
*All registrations that remove attending students and competition routines are subject to a recalculation of any applicable incentives
and accept responsibility for any additional fees resulting from their removal.
